JOB PURPOSE
Salix Data is seeking an Executive Assistant Operations Lead to oversee and strengthen the Executive Assistant (EA) function supporting senior leaders and clients.
The role focuses on building structured operational systems, improving team performance, and ensuring high-quality delivery across executive support services in a fast-paced, global environment.
KEY RESPONSIBILITIES
EA Training & Development
- Lead onboarding and training of Executive Assistants
- Develop SOPs, playbooks, and training materials
- Assess EA readiness before client deployment
- Continuously improve training based on operational feedback
Operations & Program Management
- Oversee daily performance and output of Executive Assistants
- Track delivery performance and implement improvements
- Standardize workflows, tools, and operational processes
- Provide structure in a fast-moving environment
Client Engagement & Delivery Support
- Support onboarding of clients and EA integration
- Participate in client calls where necessary
- Handle escalations related to service delivery
- Collaborate with internal teams to ensure client satisfaction
Team Leadership
- Mentor and guide Executive Assistants
- Support performance management and development
- Contribute to recruitment and team building
QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree in Business, HR, Communications, Project Management, or related field
- At least 5 years’ experience supporting senior executives
- Experience in high-performance or fast-paced environments
- Proven ability to lead, mentor, or coordinate teams
- Strong project management and organizational skills
- Excellent written and verbal communication skills
- Experience working with international or remote teams is an advantage
PREFERRED QUALIFICATIONS
- Experience developing SOPs, workflows, or operational systems
- Certifications such as PMP, PRINCE2, CAP, or equivalent
- Exposure to global organizations or distributed teams
- Background in coaching, leadership, or training roles
