Key Responsibilities

As a Virtual Client Support Specialist, you will act as the vital bridge between clients, real estate agents, vendors, and transactions. Your daily responsibilities will include:

  • Onboarding & Process Management: Master the Buyer and Seller “Lead to Close” pipelines, monitor active client progress daily, and ensure all transaction milestones and deadlines are met.
  • Transaction Coordination: Constantly follow up with sellers, buyers, realtors, inspectors, and lenders to gather missing documents and smoothly usher listings through the pipeline.
  • Database & Marketing Management: Maintain strict data integrity across CRMs, Google Contacts, Dropbox, and real estate systems. Coordinate monthly database marketing initiatives, including emails, promotional mailers, and client appreciation programs.
  • Listing Management: Own the data entry, status updates, and reporting for property listings (Coming Soon, Just Listed, Pending, Just Sold) across the Multiple Listing Service (MLS) and market-facing platforms.
  • Sales & Agent Support: Conduct daily outbound outreach (calls, texts, emails) to warm leads to schedule appointments, run Comparative Market Analyses (CMA) for residential properties, and coordinate logistics like staging, photography, and sign installations.

Required Qualifications & Skills

To be considered for this high-impact operational role, candidates must meet the following criteria:

  • Experience: Minimum of 1 year of experience in real estate transaction coordination or project management, and at least 2 years of experience in customer support or a related virtual assistance field.
  • Technical Proficiency: Working knowledge of CRMs, Google Workspace (Sheets, Docs, Gmail), and real estate tools (MLS, Zipform, Docusign, Nextiva, Dropbox). Strong data analysis and Excel skills are required.
  • Communication Style: Impeccable verbal phone etiquette, highly polished written communication skills for text/email pipelines, and a warm, enthusiastic demeanor.
  • Work Ethic: Exceptional attention to detail, a “can-do” attitude, absolute comfort dealing with high-stress situations or demanding vendors, and an ability to stay one step ahead of agent needs.

Technical & Technical Infrastructure Requirements

Because this is a fully virtual position supporting a US time-zone operation, you must have:

  • A stable, reliable internet connection with a minimum speed of 20 mbps.
  • A high-quality, dedicated noise-canceling headset.
  • Full-time availability to work Monday through Friday between 9:00 AM and 5:00 PM Central Time (US).
